Document Recording Information

Before submitting a document for recording, please check the following:

  • Document is the original or certified copy
  • Document dated
  • Document signed
  • Notary Acknowledgment must include:

-Jurisdiction (state/county where notarized)


-Names and marital status of the signatures being acknowledged

-If a Corporate acknowledgement, business name, signor names and titles

-Legible notary seal

-Notary signature

-Notary commission expiration date

  • Marital status

-specific/clear, such as “married to each other” “a single person” “husband and wife” 

-a marital status of only “married” is ambiguous and not acceptable

  • Full legal description

    -most times tax statements use abbreviated legal descriptions which are not acceptable

  • Draftsman statement which includes name and address
  • White-out cannot be used on a legal document
  • Document must be sufficiently legible to reproduce a readable copy using our scanning system

If the document being submitted for recording affects Torrens property, please indicate that on the document or cover letter.

508.76 Subd. 2 Documents misfiled. The registrar may reasonably rely on the affirmative representation of the party presenting instruments for filing as to whether the land described in the instruments or any part of it is registered or unregistered.  A party who requests that misfiled instruments be refiled with the registrar is responsible for paying any additional fees required to properly file any instrument misfiled because of an incorrect representation and, if applicable, to enter a new certificate of title.


Transfer Deeds:


  • State Deed Tax included (.0033 x purchase price = Deed Tax due)
  • eCRV number noted on the document
  • Name and address of where property tax statements should be sent
  • Completed Well Certificate and $50.00 fee OR one of the following statements:

“The Seller certifies that the seller does not know of any wells on the described real property”


“I am familiar with the property described in this instrument and I certify that the status and number of wells on the described real property have not changed since the last previously filed well disclosure certificate”

  • If the transfer results in a split of a tax parcel, prior approval is needed, and all taxes must be paid.
  • If claiming the minimum state deed tax, the following statement should be on the document:

“Total consideration for this transaction is $500 or less”


Miscellaneous Documents


  • Correction Documents must have new signatures and new acknowledgments along with a correction statement
  • Mortgage registration tax due included (loan amount x .0023=MRT due)

-If claiming an exemption, attach MRT1 form
